Appointment Cancellation Policy
Cancellation by Patient
- Appointments must be cancelled or rescheduled at least 24 hours in advance.
- Cancellations made within less than 24 hours may result in partial charges or forfeiture of booking fee (if applicable).
No-Show Policy
- Failure to attend a scheduled appointment without prior notice will be treated as a no-show.
- In such cases, the consultation fee may be non-refundable.
Appointment Rescheduling
- Rescheduling requests are subject to doctor availability.
- Patients are encouraged to inform the clinic as early as possible.
Consultation Fees
Consultation fees once paid are:
- Non-refundable after consultation has been completed
- May be adjusted for rescheduled appointments (case-to-case basis)
Treatment & Procedure Payments
Fertility treatments involve multiple stages, medical consumables, and laboratory processes. Refunds are governed as follows:
Before Treatment Initiation
If a treatment (IVF, IUI, ICSI, etc.) has not yet started, a refund may be considered after:
- Deduction of consultation charges
- Administrative charges
After Treatment Initiation
Once treatment has begun, partial or no refund may be applicable due to:
- Medication procurement and usage
- Lab preparation and embryology procedures
- Resource allocation (doctor time, equipment, staff)
Lab-Based Procedures (Strictly Non-Refundable)
The following are generally non-refundable once initiated:
- Egg retrieval procedures
- Embryo culture and development
- ICSI / IVF lab processes
- Cryopreservation (egg/sperm/embryo freezing)
- Genetic testing (PGT, ERA, etc.)
Package-Based Treatments
For treatment packages, refunds (if any) will be calculated based on:
- Services already utilized
- Medications used
- Lab procedures completed
Medication & Consumables
Medicines, injections, and consumables once issued:
- Cannot be returned or refunded
- Are non-transferable
Diagnostic Tests & Reports
Payments made for blood tests, scans, and genetic tests are non-refundable once the test is performed or processed.
Refund Processing Timeline
Processing Time
Approved refunds (if applicable) will be processed within 7–15 working days.
Refund Method
Refunds will be issued via original payment method or bank transfer.
Cancellation by Vriksh Fertility
In rare situations where the clinic needs to cancel, patients will be:
- Offered rescheduling, or
- Provided a full refund (if applicable)
Force Majeure
No refunds or liabilities shall arise due to delays or cancellations caused by:
- Natural disasters
- Government restrictions
- Medical emergencies
- Unforeseen operational disruptions
Discretion Clause
All refund decisions are subject to clinical evaluation, case-specific considerations, and management approval. The clinic reserves the right to make the final decision.
Patient Responsibility
Patients are responsible for:
- Understanding treatment stages before payment
- Asking questions regarding refund eligibility
- Following prescribed treatment timelines
Dispute Resolution
- Any disputes shall be governed by the laws of India
- Jurisdiction: Bengaluru, Karnataka
